Closeout (closeoutrebates.com) is operated by Dyson Swarm Technologies. This policy explains what we collect and how we use it.

What we collect

Account details: company name, contact name, email, phone.
Job data you enter or upload: customer names and service addresses, install details, invoices, equipment photos, certificates and other paperwork.
Installer mobile numbers and their text-message consent records (when and how they opted in or out).
Billing: handled by Stripe; we store a Stripe customer reference and the card brand and last four digits, never the full card number.

How we use it

Only to run the service: reading and checking paperwork, tracking deadlines, building submission packets, sending the texts and emails you or your installers asked for, and billing. Documents are processed by our AI providers (Anthropic, and OpenAI if configured) solely to extract and check the information in them.

Mobile numbers and text messaging

We do not sell, rent or share mobile phone numbers or SMS opt-in data with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers (such as our SMS carrier, Twilio) that deliver the messages. You can opt out at any time by replying STOP.

Retention and deletion

We keep job data while your account is active so you can re-file or prove a submission. Ask us to delete your account and its data at hello@closeoutrebates.com.

Security

Data is encrypted in transit (HTTPS) and stored with our hosting provider. Access to an account requires its private sign-in link.
